Finance users can view expenses awaiting approval, redirect an approval and send approval reminders from the Awaiting Approval section of the Finance area by following the steps below:
1. Go to the Finance area.
2. In the Pending Expenses section, click the Awaiting Approval subheading.
Note: You can also access awaiting approval expenses from the Overview section, by clicking View all in the Awaiting Approval shortcut tab.
All awaiting approval expenses for all users will display in this section.
What can you do in this section?
Filter expenses - you can narrow down the results by clicking Filter.
Using the Search field, you can search by user name, expense number or submission number (omitting the EI prefix).
View individual expenses - you can click on a user's name to view the individual draft expenses. You can also further expand the individual expenses to see the expense details.
Against each expense, click the three dots icon to reveal the following options:
Approve - approve expenses on behalf of the listed approver (only available if the Additional Setting in Admin is enabled).
Reject - reject expenses on behalf of the listed approver (only available if the Additional Setting in Admin is enabled).
Redirect Approval - redirect the expense approval to another Approval Flow.
View History - view the history of the expense.
View Policy Result - see policy results from the policy checks completed when the expense was submitted.
Delete - delete the expense on behalf of the user.
Download expenses - you can download your users' awaiting approval expenses to a CSV or PDF file by ticking the checkboxes next to the required expenses, clicking Export and selecting Export All or Export Selected from the drop-down and selecting a desired export format.
Send approval reminders - you can send an approval reminder email to the listed approver by ticking the checkbox(es) next to the relevant expense(s), then clicking Actions > Send Reminder.
