Edit an approved purchase request

Learn how to edit approved purchase requests in the Invoicing module Finance area.

If you find you need to edit or amend some of the purchase request details for an approved purchase request, you can do this before accepting the purchase request.

To edit an approved purchase request, follow the steps below:

1. In the Invoicing module, go to Finance > Approved (under the Purchase Requests heading).

2. Review your approved purchase requests by clicking on each line to expand the request and see its details.

3. Next to the purchase request you'd like to edit, click the three dots icon and select the relevant option from the drop-down.

  • Edit - amend the details of the purchase request, e.g.:

    • Add or change the items listed on the purchase request.

    • Add or change the files on the purchase request.

    • Amend the other purchase request details (e.g. Description, Department and Project).

    • Increase or decrease the Invoicing Frequency.

  • Assign Supplier - select an existing supplier for your purchase request or create a new one.

  • Accept - accept the purchase request to move it to the Accepted section of the Finance area. Click Continue in the pop up window to confirm acceptance.

    Note: A supplier must be assigned to the purchase request before it can be accepted.

  • Reject - reject the purchase request to move it back to the Draft section of the purchase request owner's My Purchases area. When rejecting the purchase request, you'll be prompted to provide a reason to the user for rejecting it.

4. After selecting the relevant option, you can then view the purchase request in the relevant section of the Finance area and continue to process it as required.
