If your company has applied the duplicate expense detection policy rule to your account, then the system may flag or block certain expenses on submission if they're deemed as duplicates.
If you see a yellow policy message, you may click Continue to continue with your expense submission. In this case, your expense and receipt will be reviewed by your approver and/or company Finance team.
If you see a red policy message and the expense is not a duplicate, you'll need to click OK and won't be able to submit your expense until you've consulted your company's Finance team and received instructions on how to proceed.
Note: We do know duplicate expenses can sometimes occur and for this reason we've made it easy for you to create them on both the web portal and mobile app.
How the system identifies a possible duplicate expense
The system will identify an expense as a duplicate if the following conditions are met for the relevant expense type:
Purchase Expense - Expense Date and Gross Amount exactly match; and Merchant Name is a close match with an expense submitted in the last 90 days.
Personal Mileage Expense - Expense Date, Journey Details To and From, and Rate exactly match with an expense submitted in the last 90 days.
Time Expense - Expense Date and all Time Details exactly match with an expense submitted in the last 90 days.
