Edit a supplier

Learn how to edit a supplier in the Invoicing module.

Finance users can edit suppliers in the Finance area of the Invoicing module. Suppliers can be edited individually, or you have the option to import supplier data for any bulk changes.

Note: If you need to edit a supplier's invoice policy and/or approval flow, these must be created beforehand.

To make changes to existing suppliers, follow the steps below:

1. In the Invoicing module, go to Finance > Suppliers (under the Suppliers heading).

2. Find the supplier you'd like to edit; you can use the filter options available to help with this.

3. Click the Edit icon next to the supplier, or click the three dots icon and select Edit from the drop-down.

4. On the pop-up window, make the required changes to the supplier.

  • Name - change the supplier's name.

  • Reference - change or enter the supplier's reference. This would typically match to the supplier's reference from your accounting package.

  • Payment Method - change or select how you pay the supplier's invoices.

  • Payment Terms (days) - change or enter the number of days you have to pay invoices for the supplier.

  • VAT Number - change or enter the supplier's VAT number.

  • Invoice Policy - change or select the policy that applies to the supplier.

  • Approval Flow - change or select the approval flow that applies to the supplier.

  • Account Number / IBAN - change or enter the supplier's bank account number or IBAN.

  • Sort Code - change or enter the supplier's sort code.

  • Active - tick or untick the 'Active' checkbox to mark the supplier as active or inactive.

    Note: Invoices can only be raised against active suppliers.

5. Click Update to save your changes.
