A spending control enables you to limit and control your cardholders' spending. The spending controls enable you to limit merchants, countries and transaction values.

Spending controls for your cardholders can be set up and amended within the ExpenseIn Cards module.

Note:

  • Amendments to existing spending controls will automatically apply to all cardholders with the spending control assigned.

  • Spending control changes apply in real time.

To edit an existing spending control, follow the steps below:

1. Go to the Cards module and click Manage.

2. In the Manage section, click the Spending Controls subheading.

3. Find the existing spending control you'd like to edit, then click the Edit icon next to the spending control, or click the three dots icon and select Edit from the drop-down.

4. On the pop-up window, make the required changes to the spending control.

  • Name - change the spending control name.

  • Merchant Categories - change or select the categories you'd like to either allow or block for the spending control.

  • Merchant Countries - change or select the countries you'd like to either allow or block for the spending control.

  • Spending Limits - change or set the spending limits for the spending control.

    • Amount - change or enter the spending amount limit.

    • Interval - change or set the interval for the spending limit (e.g. Daily or Per Authorisation).

    • Categories - change or set the categories the spending limit applies to.

Note: If a spending control has overlapping spending limits (e.g. £100 per authorisation for all categories and £50 per authorisation at category level), the most restrictive spending control would apply (i.e. £50).

5. Click Update to save your changes.

A banner will appear at the top of the screen to confirm that the spending control has been updated.

Note: If you have multiple spending controls set up, you can mark a spending control as the default option for when creating a new cardholder. To mark a spending control as the default option, click the three dots icon and select Make Default from the drop-down.
