Users with the Manage Cards user permission can add a Subscription Card at any time within the ExpenseIn Cards module.
Note:
You'll need to ensure the Subscription Card owner is set up as a user before adding a Subscription Card.
Each Subscription Card can have only one owner.
The same owner can be assigned to multiple Subscription Cards.
Subscription Cards can only be added individually.
For more information, see our What is a Subscription Card? Help Article.
To add a Subscription Card, follow the steps below:
1. Go to the Cards module and click Manage.
2. In the Card Account section, click the Subscription Cards subheading.
3. Click New Subscription Card.
4. On the Details tab, enter the Subscription Card details.
Owner - select an owner for the card.
Phone Number - enter the owner's phone number in international format.
Name on Card - enter the name on card. This field is automatically populated with your company name but can be changed to something that reflects the card's purpose, e.g. Marketing, Supplier, or AWS.
Billing Address - enter the billing address which will be used for billing details when using the card. These fields default to the company's registered address stored in the ExpenseIn Cards module but can be changed if required.
5. On the Spending Controls tab, set the spending controls for the card.
Merchant Categories - select the categories you'd like to either allow or block.
Merchant Countries - select the countries you'd like to either allow or block.
Spending Days - select the days the card can be used.
Spending Limits - set the card's spending limits.
Amount - enter the spending amount limit.
Interval - set the interval for the spending limit (e.g. Daily or Per Authorisation).
Categories - set the categories the spending limit applies to.
Note:
If the spending control has overlapping spending limits (e.g. £100 per authorisation for all categories and £50 per authorisation at category level), the most restrictive limit applies (e.g. £50).
There is a default limit of £/€10,000 per authorisation attempt. If you require this limit to be amended, please contact our Support team, alongside justification for the request.
6. Click Create.
The card owner will now receive an email confirming that a Subscription Card has been issued and is available in their account, where they can view the card details.
Note:
Subscription Cards do not need to be activated, the card will automatically activate on creation.
You can view the history of the card ordered by clicking the three dots icon against the card, then select Card History from the drop-down.
