Add a company car

Learn how to assign company vehicles to your employees to provide them access to the mileage log to record and submit their monthly mileage.

Company cars can be added for your users by an Account Administrator from the User Management section of the Admin area.

Note: Company cars can be added individually or you have the option to import your company cars.

How to add a company car

To add a new company car, follow the steps below:

1. Click the Account Name > Admin.

2. In the User Management section, click the Company Cars subheading.

3. Click the Add button and select New Vehicle from the drop-down.

4. In the New Vehicle window, populate the company car details.

  • User - select the user to assign the vehicle to.

  • How does this user pay for fuel? - select how the user pays for the fuel i.e. Company/fuel card or Out of pocket.

  • Make - enter the make of the user's vehicle.

  • Model - enter the model of the user's vehicle.

  • Registration (optional) - enter the registration of the user's vehicle.

  • Fuel Rate - select a fuel rate for the user's vehicle. This will be used to calculate the VAT for the user's mileage log expenses (if enabled).

    Note: If the fuel rate you want to use is not on the list, you can add a new fuel rate.

  • Hide personal car mileage option - hide the personal car mileage option on the selected user's account.

    Note: This can be enabled again if required by editing the user's settings in their user record.

5. Click Create.

How a user can view their company car

Once a company car has been added, the user can see their company car(s) by going to the Vehicles section in their My Expenses area.

How a user can manage their company car

If you'd like your users to manage their own vehicles, you must ensure the Manage company vehicles setting is enabled in their user profile.

Note: You can edit a user's settings from the Users section of the Admin area.
