Add existing mileage

Learn how to add existing mileage to ensure that any mileage rate limits take into account the user's mileage prior to using ExpenseIn.

If end-users have completed business miles before using personal car mileage expenses to log their business mileage, we recommend entering their existing business mileage into the system.

Note:

  • Existing mileage only applies to personal car mileage. Please see the Add a mileage rate Help Article to configure mileage rate distance limits.

  • It's recommended that existing mileage for a user is added before they begin to create any personal car mileage expenses.

  • To import existing mileage for multiple users, follow the steps in our Import existing mileage data Help Article.

  • Finance users can run the Cumulative Mileage Report in the Completed section of the Finance area to see the cumulative personal car mileage recorded for each tax year.

To add existing mileage for a user, follow the steps below:

1. Click the Account Name > Admin.

2. In the Advanced section, click the Existing Mileage subheading.

3. Click the Add button and select New Existing Mileage from the drop-down.


4. In the pop-up window, enter the details for the existing mileage.

  • User - select the user you want to assign the existing mileage to.

  • Tax Year - select the tax year that the existing mileage applies to.

  • Mileage - enter the mileage that occurred prior to the user using ExpenseIn for for the selected tax year.

5. Click Add to add the existing mileage to the selected user.
