Follow the steps below to create a personal car mileage expense:
1. Go to My Expenses > Overview or Draft.
2. Click Add Expense and select Mileage.
Note: If your Expense or Finance team has given you permission to create both personal and company car mileage expenses, select Personal Car.
3. On the expense, enter the mileage details, including the journey date, category and description. You will also need to enter your From and To locations.
Note:
We recommend entering postcodes for both the From and To locations whenever possible.
ExpenseIn uses Google Maps to calculate the journey distance automatically*. You can override the calculated distance by entering the value manually.
If a plus (+) icon is displayed next to the To field, your Expense or Finance team has enabled the Multi-Stop feature. This allows you to add up to 25 stops during your business journey.
4. If you made a return journey, you can tick the Return Journey checkbox to double the distance*.
*Google Maps distance calculations and the Return Journey feature depend on your company's account configuration. If Google Maps distance calculations have been disabled by your Expense or Finance team, you must enter the total journey distance manually.
5. Select the appropriate Rate (per mile) and Vehicle Details from the available drop-down options. These selections will be used automatically for future mileage expenses.
6. To attach fuel receipts, click Choose a Receipt.
7. If you need to provide additional details, click Add Additional Information.
8. Click Create to save the expense.
The mileage expense will appear in the Draft section of My Expenses, where you can review and edit it as many times as necessary before submission.
