Edit an approved invoice

Learn how to edit your approved invoices in the Invoicing module Finance area.

If you find you need to edit or amend some of the invoice details for an approved invoice, you can do this before completing and/or exporting the invoices.

To edit an approved invoice, follow the steps below:

1. In the Invoicing module, go to Finance > Approved (under the Invoices heading).

2. Review your approved invoices by clicking on each line to expand the invoice and see its details.

3. Next to the invoice you'd like to edit, click the three dots icon and select the relevant option from the drop-down.

  • Edit - amend the details of the invoice, e.g.:

    • Amend the Supplier.

    • Add or change the invoice line details.

    • Amend the other invoice details (e.g. Invoice Reference, Invoice Date, Due Date, Purchase Order Number).

    • Assign, change or remove a purchase request related to the invoice.

  • Add Note - add additional comments and notes that are relevant to the invoice. The note will be visible in the invoice history.

  • Attachments - attach additional files that are relevant to the invoice.

  • Reject - reject the invoice to move it to the Rejected Invoices section of the Finance area. When rejecting the invoice, you'll be prompted to provide a reason for rejecting it.

    Note: If an invoice was uploaded from a user's My Invoices area, it will return to the Draft section within my invoices instead. See our Rejected invoices Help Article for more information on managing rejected invoices.

  • Delete - remove the invoice (including its attachments and notes) from the Invoicing module. See our Delete an invoice from Finance Help Article for more information on deleting invoices.

4. After selecting the relevant option, you can then view the invoice in the relevant section of the Finance area and continue to process it as required.
