Create a purchase expense

Learn how to create purchase expenses from your receipts or from scratch.

There are a couple of different ways to create purchase expenses. You can create expenses by using the ExpenseIn web portal or mobile app.

How to create an expense from a receipt

Check out our article on capturing receipts for more information about how to capture receipts using the web portal.

1. To view your uploaded receipts, go to Receipts > Unattached (found in the My Expenses area).

2. Locate the receipt you'd like to use to create an expense.

Note: We recommend creating expenses from your receipts once they have been scanned. When scanning is complete, any extracted information will be displayed in the information box.

3. Click the Expense drop-down and select Purchase.

4. The expense will open for you to complete.

Note:

  • If receipt scanning is successful, fields such as Date, Merchant, VAT, Amount, and Currency may be pre-populated on your expense.

  • If you added a memo to your receipt, this will be used as the expense description.

  • The Category field may also be pre-populated using AI or Merchant categorisation, depending on your ExpenseIn subscription plan and the categories available to you.

  • You can override any pre-populated information when completing your expense.

  • Any information that has not been pre-populated must be entered manually, unless the field has been configured as optional.

5. Click Create to add the expense to your account.

How to create an expense from scratch 

While we recommend creating expenses from your receipts to benefit from our receipt scanning process, you can also create expenses from scratch if you don't have the receipt or prefer to enter the expense information manually.

1. Go to My Expenses > Overview or Draft.

2. Click Add Expense and select Purchase.

3. Populate the expense with the relevant details.

4. Click Create to add the expense to your account.

You can view the new purchase expense under the Draft subheading of the Expenses section, and edit it as many times as necessary before submitting it.

Additional Information

  • You can add multiple receipts to your expense by clicking Add additional Receipt +.

  • If your expense is going to be recharged to a customer, you can tick the Billable checkbox (if enabled by your Account Administrator).

  • If you want to add more information to your expense, click Add Additional Information.

  • If you create this expense regularly, you can tick the Add to favourites checkbox. A template will be created for you and stored in your Favourites section.

  • If you have receipts stored in your email inbox, you can use our email-to-receipts feature to send them directly to your account.
